Privacy Policy
Examify holds information about schools, their staff, students and parents. This policy explains what we hold, why, who we share it with and the choices you have. It is written to meet the Nigeria Data Protection Act 2023.
1. Who we are
Examify by Navura (“Examify”, “we”, “us”) is a school management and computer-based testing platform provided by Probitech Solutions Ltd (RC 921630), 3, B Close, Community Road, off Pakuro Road, Pakuro, Mowe, Ogun State, OG 15 A26 UB 09. Schools use Examify to manage results, fees, exams, attendance, lessons and communication with parents.
2. Schools and Examify: who is responsible
Each school is in charge of its own records. The school decides what information about its staff, students and parents goes into Examify and what it is used for. In the language of the law, the school is the data controller and Examify is its data processor: we handle that information only to provide the service to the school and on the school’s instructions.
We are the data controller for a smaller set of information: the contact details of the people who run a school’s subscription, records of subscription payments, and messages from people who contact us through this website or WhatsApp.
If you are a student, parent or member of staff, your school is your first point of contact for questions about your records. We will help your school answer them.
3. The information we hold
Depending on which features a school uses, Examify may hold:
- Accounts: names, email addresses, phone numbers, roles and sign-in details for school administrators, proprietors, bursars, teachers, students and parents. Passwords are stored only in a scrambled (hashed) form that cannot be read back.
- Student records: name, admission number, class, date of birth, gender, photo, home address, state of origin, local government area, nationality, religion, previous school, emergency contacts and documents the school uploads, such as a birth certificate.
- Health information, if the school chooses to record it: blood group, genotype, allergies and medical conditions. This is sensitive information under the law. Schools should record it only where they need it to care for the student.
- Learning and assessment: scores, results, report cards, CBT exam answers, a record of when a student leaves the exam screen during a CBT exam, assignments, conduct ratings, certificates and JAMB Prep practice activity.
- Attendance registers.
- Fees and payments: fee amounts, payments, receipts, discounts and waivers. Card details are entered on Paystack’s secure page and are never seen or stored by Examify.
- School operations: admission applications, hostel and transport records, timetables, lesson materials, discussions and announcements.
- Technical information: basic records of sign-ins and actions, kept to keep accounts secure and to trace problems.
4. Children’s information
Most students on Examify are under 18. We treat their information with extra care:
- Schools are responsible for having the consent of parents or guardians, or another lawful basis, before adding a child's information.
- Access is limited by role. Teachers see only the classes they teach, parents see only their own children, and students see only their own work.
- We never use children's information for advertising, and we never sell it.
- We do not use children's information to make automated decisions about them. Marking of CBT exams follows the answer keys teachers set.
5. How we use information
We use information only to:
- provide Examify to schools: records, results, exams, fees, attendance, lessons and messages;
- let people sign in securely, and protect accounts from misuse;
- send emails and SMS that schools have switched on, such as login details, results notices, absence alerts and fee reminders;
- process payments through Paystack;
- give support to schools when they ask for it;
- keep the service reliable and fix problems.
We do not sell personal information, show advertising, or share information with anyone for their own marketing.
AI in JAMB Prep. When an SS3 student asks for AI study notes or practice questions, we send only the syllabus subject and topic to our AI provider. No names or other personal details are sent.
6. Service providers we use
We use trusted companies to run parts of the service. They may handle personal information only to provide their service to us, under contract.

We may also share information where the law requires it, for example in answer to a lawful request from a court or regulator.
7. Information stored outside Nigeria
Some of our providers store or process information on servers outside Nigeria. We choose providers with strong security and data protection commitments, and we transfer information only as the Nigeria Data Protection Act allows.
8. How we protect information
- All connections to Examify are encrypted (HTTPS).
- Each school's records are kept separate from every other school's.
- Every account sees only what its role needs, and finance actions are recorded in an audit log the school can review.
- Passwords are hashed, and new accounts get their temporary password by email.
- Only a small number of our staff can reach school records, and only to provide support or keep the service running.
No system is completely secure, but we work to protect information and to act quickly if something goes wrong.
9. How long we keep information
We keep a school’s records for as long as the school uses Examify. If a school leaves, it can ask us for a copy of its records. We delete the school’s records 90 days after the subscription ends, unless the school asks us to delete them sooner or the law requires us to keep something longer, such as payment records.
10. Your rights
Under the Nigeria Data Protection Act you have the right to:
- know what information is held about you and get a copy of it;
- have wrong or incomplete information corrected;
- ask for information to be deleted, or for its use to be limited;
- object to how your information is used;
- receive your information in a format you can take elsewhere;
- withdraw consent you have given, at any time;
- complain to the Nigeria Data Protection Commission.
Students, parents and staff should start with their school, because the school controls their records. You can also contact us and we will pass your request to your school and help it respond. We aim to respond within 30 days.
11. Cookies
Examify uses only what it needs to work: a cookie that keeps you signed in, and a small note in your browser that remembers which school you use. We do not use advertising or tracking cookies.
12. Visitors to this website
This website does not ask for your personal details. If you contact us on WhatsApp or by email, we receive your name, number and message. We use them only to reply to you and to arrange a demo if you ask for one.
13. If something goes wrong
If a security incident affects personal information, we will tell the affected schools without delay and help them inform the people involved. Where the law requires it, the Nigeria Data Protection Commission will be notified within 72 hours.
14. Changes to this policy
We may update this policy as Examify changes. The date at the top shows when it was last updated. We will tell schools by email about any important change.
